Booking Terms & Conditions

1. RESERVATIONS & BOOKINGS /  BASIS OF THE HIRE

 All descriptions, specifications and images available  are used  for the sole purpose of advertising, from time to time it may be necessary to make changes or modifications to the vehicle.  They will not form part of this Contract.

 Hire rates quoted include: 

1. VAT at the current rate

2. 800 miles per week or part thereof

3. UK standard fully comprehensive Vehicle insurance

4. UK standard equipment & breakdown

5. A Booking Deposit of 300.00 is payable upon making a reservation. The Booking Deposit is non refundable under any circumstances and shall be deducted from the Hire Charge.

6. The Hire Charge invoice is due for payment no less than 6 weeks prior to the commencement of Hire. The Security Deposit is to be paid  on the day of collection.

2 INSURANCE 

Fully Comprehensive Insurance cover is provided for the duration of the Hire Period and covers the Vehicle, Vehicle Equipment, the Driver(s) and Permitted Passengers only. The cost of this insurance is included within the Hire Charge. The Customer’s personal property is not covered under this insurance.

Requirements for insurance cover and hire

Drivers must be over 23 and under 75 with 2 years minimum driving experience.

1. TL Automotive Services Ltd may incur additional Charges if the Driver to be insured has, for example, a traffic conviction or using a non-UK driving licence. These Charges will be passed onto the Customer.

2.  Two, 3 point convictions are acceptable (i.e. 2x SP30’s, 3pts each)  a single 4 point offence is acceptable without referral and subject to standard terms. • Single 6 point SP30, SP50 and CU80 convictions  are acceptable subject to a £1000 additional excess. All other 6 points+ offences will require referral to the insurers. 

3.  No more than one fault or outstanding incident/claim in the last three years.

 

 

4.  A standard insurance excess of £1000.00 applies, meaning any damage to the vehicle and its contents or third party that the customer is liable

5. Damage to tyres, windows and windscreens and any theft of personal property are not covered by the insurance provided  Customer’s expense.

6. Driving by non-named Drivers and any late returns of the Vehicle renders the insurance invalid and the Driver therefore commits an offence under the Road Traffic Act and will be solely responsible for any damage or personal injuries incurred.

7. Invalid insurance also means the Driver and Customer becomes personally liable for: 

8. Any accident or damage to the Vehicle.

9. Any injury or damage to any third party.

10. Any accident or any damage to the Vehicle must be reported to TL Automotive Services Ltd immediately by telephone and in any event within 24  hours. 

11. Travel insurance is the responsibility of the Customer and it is recommended that the Customer obtains such travel insurance to cover cancellation costs, personal luggage, money loss, personal accident and medical expenses.

12. Even though it may be covered by TL Automotive Services Ltd insurance, the Customer shall be liable to pay the cost of repair for any damage, which the Vehicle may suffer as the result of the wilful or negligent action of the Customer.

13. Prior permission from TL Automotive Services Ltd must be obtained if the Vehicle is to be taken to festivals and concerts or other events. An increased Security Deposit may be  requested if permission is granted.

14. Use for Hire or reward is not permitted.

15. The Customer is responsible for all loss or damage arising from theft whilst the ignition keys of the Vehicle have been left in or on the Vehicle.

3 SECURITY DEPOSIT  

There is a refundable Security Deposit from £1000.00 payable on the day of Hire by debit card or B.A.C.S. from an account in the name of the hirer. This deposit will be refunded within 3 days upon return of the Vehicle to TL Automotive Services Ltd , on the agreed date and time and  in the same condition as it was hired out,  the interior and contents clean including all cooking appliances, and the fuel tank full. TL Automotive Services Limited reserves the right to increase the Security Deposit for specific events e.g. Festivals or any other Hire where deemed necessary.

The hirer should be aware that the Security Deposit will also act as the insurance excess and also  be used to fund any loss or damage whatsoever to equipment, fixtures and fittings, negligent damage to the Vehicle. Should these damages exceed the Security Deposit the Customer will be liable for the total cost and the difference will need to be settled within seven days of returning the Vehicle.

4 DRIVERS 

1. The age of Drivers is restricted to those over 23 and under 75 years old, this is due to insurance restrictions, they must be of good health and have held a UK driving licence for at least 2 years

2. Only the person named on the handover form  at the time of Hire may drive the Vehicle.

3.Photo card driving licences must be produced before the commencement of the Hire and should be unendorsed (any endorsements may incur additional Charges). 

We will need to carry out an online driver licence check on the day your hire starts,  you will need to generate a code via the .GOV website no more than 21 days before your hire commences.

You will need your N.I number to generate this code.

4. Proof of identity must be provided at the commencement of the Hire, 2 separate forms of identification are required along with photographic driving licence and passport (or other satisfactory photo ID) and recent utility bill (or other satisfactory proof of address see list below).

Electricity (bill/statement) • Water (bill/statement) • Gas (bill/statement) • Broadband/Landline • Council tax • TV licence • Bank Statement • Credit card bill / statement • Mortgage statement • Polling card • HMRC self-assessment / tax credit • Student loan • Shotgun licence • Payslip • Mobile Phone Bills • Pension letters • Car Finance Statement • Loan Statement • Property deed And annual council tax bill will be accepted. All to be dated within 90 days of the hire start date

5. Drivers are personally liable for all legal penalties (e.g. parking tickets, Congestion Charges, speeding fines) which are incurred during the Period of Hire.

6. All current and previous motoring offences, including drink driving offences are to be disclosed to TL Automotive Services Ltd upon booking. Any current endorsements may incur an additional insurance charge. The insurance surcharge may vary depending on the offence endorsement code and when the endorsement was issued. The insurance surcharge will be notified to you prior to the Hire commencement. The insurance surcharge must be paid prior to the Hire commencement.

7. TL Automotive Services Ltd reserves the right, at its sole discretion, to refuse permission to Hirers to drive the Vehicle, for whatever reason.

5 MINIMUM HIRE PERIOD 

The minimum Hire Period ranges from 3 to 7 days depending on the season. Please check with TL Automotive Services at  time of booking.

6 CANCELLATION OF BOOKINGS and termination of hire

1. Any cancellations must be made to TL Automotive Services Ltd  in writing and will be Charged as follows:

2. For cancellation more than 6 weeks prior to the commencement of the Hire Period the Customer will forfeit the Booking Deposit.

3. For cancellation less than 6 weeks prior to the commencement of the Hire Period or failure by the Customer to turn up for the  commencement of the Hire Period the Customer will be liable for the full Hire Charge.

4. TL Automotive Services Ltd reserves the right to cancel the Booking before commencement of the Hire Period if the Named Driver(s) Licences are invalid or do not comply with our insurance requirements or additional documentation ( i.d and proof of address etc) is not provided. In this case the Customer will forfeit the total Hire Charge and no refund will be given

5.  I acknowledge that TL Automotive Services Ltd may terminate this agreement and or repossess the vehicle and charge the hirer reasonable costs incurred

IF:

The hirer is in breach of any terms of this agreement

The vehicle has been hired by means of deception or misrepresentation

The vehicle has been abandoned or in an unnecessary location.

The vehicle is not returned at the agreed return date or we believe the vehicle will not be returned.

 6. All vehicles are fitted with trackers and remote immobilization systems.

7 VEHICLE CONDITION  

1. The Customer acknowledges delivery of the Vehicle and the contents are free from any defect or damage and complete other than as specified by the Company and agreed at the date of commencement of the Hire. The Customer is therefore advised to check the Vehicle thoroughly before leaving TL Automotive Services Ltd  premises.

2. Upon return to TL Automotive Services Ltd   the Vehicle will be checked for damage, cleanliness etc., including the condition of the tyres and windscreen which are not included inTL Automotive Services Ltd  Hire insurance cover, any such damage being the Customers responsibility. An additional Charge may be made for cleaning the interior.

8 AVAILABILITY

1. Availability  be confirmed at the time of reservation. A reservation is only binding after it has been confirmed by TL Automotive Services Ltd booking deposit has been received.

2. Whilst every effort is made to ensure that the Vehicle reserved is available, if due to circumstances beyond TL Automotive Services Ltd  control the reserved Vehicle is not available,TL Automotive Services Ltd reserves the right to offer a suitable alternative. If this is not available or acceptable the liability of TL Automotive Services Ltd  will be limited to the refund of any monies paid by the Customer.

9 PAYMENT

1. Once a booking is confirmed, and deposit received an invoice will be issued  for the remaining balance and Security Deposit. This invoice must be paid no less than six weeks prior to Hire start date. TL Automotive ServicesLtd reserves the right to cancel the Booking if payment is not received six weeks prior to hire start date

2. Payment can be made by bank transfer, credit card or debit card 

3. For late Bookings (less than six weeks before departure) the full Hire price is payable on Booking. 

10 CREDIT CARDS 

All credit card payments will incur a 2% booking fee and we  can only accept Visa credit or MasterCard.

11 COLLECTION & RETURN 

1. Unless otherwise agreed, the hire  Vehicle will  be available for collection at 15:00 on the hire commencement day and is to be returned to us between 08:30 and        11:00 on the end date of the hire

2.  Please allow 1 hour for the vehicle hand-over .

3. Please allow the same time on your return so the vehicle can be checked for damage & cleanliness etc.

4. The Vehicle must be returned on the date, and on or before the time stated above.

5. Vehicles must be returned clean and in the same condition as they left the collection address, otherwise a Charge of £50.00 will be made.

6. The Hirer must inform us if they will be late returning as insurance cover will not be in place after 11.00am on the return date.

 Any late returns will result in a £100.00 an hour charge along with any other costs incurred by TL Automotive Services Ltd.

7. No refund will be given for an early return of the Vehicle.

12 DELAYS 

 If your Hire is delayed by circumstances out of our control we accept no liability other than the refund of Hire hours or days lost.

Sundays & Public holidays: CLOSED

14 BREAKDOWNS

1. We endeavour to ensure the Vehicle is in a roadworthy and safe condition prior to  every Hire. In the  event of a breakdown, all vehicles have roadside assistance and recovery, and: 

2. The Hirer will be responsible for all costs  for a call out when the vehicle hasn’t broken down due to a mechanical fault 

3. The Hirer is authorised to spend up to £100.00 on necessary repairs, this  will be reimbursed  on presentation of a valid VAT receipt. Prior approval must be obtained from TL Automotive services Ltd for any amounts exceeding £100.00

4. TL Automotive Services Ltd will  not be responsible for any consequential expenses, or delay to the Period of Hire or any third party claims for damages in connection with or consequence of any accident or breakdown.

5. TL Automotive Services Ltd will be entitled to Charge the Customer  where any  recovery and or  repair service is  a result of the Hirers negligence, including but not limited to flat batteries, running out of fuel, wrong fuel used, keys locked inside the Vehicle or losing the Vehicle’s keys.

6. TL Automotive Services Ltd will not be responsible for hotel or any other consequential expenses resulting from a breakdown. However, provided we have supporting evidence, TL Automotive Services Ltd  will 1. Refund any incomplete use of the Vehicle during the hire period and 2 .Arrange transport when necessary at our discretion and by means arranged by ourselves back to the collection address.

15 ACCIDENTS

1. In the event of an accident involving the Vehicle, the Hirer must notify TL Automotive Services Ltd immediately after the event or as soon as practically possible. 

2. The maximum height of your Vehicle is clearly stated. Any overhead damage is the responsibility of the Customer.

16 FUEL, OIL & COOLANTS

1. Upon collection the Vehicle is supplied with a full tank of fuel. The Hirer is required to return the Vehicle at the end of the Hire Period with a full tank of fuel.

2. Any fuel shortage will incur a surcharge of £30.00 to the Customer plus the cost to fill the vehicle to the maximum

3.The hirer will be responsible for incorrectly fuelling the vehicle and all costs associated with rectifying. 

4. The hirer shall when required check and top up all levels. Any purchases will be reimbursed by TL Automotive Services Ltd upon presentation of a receipt

17 GAS and Water

1. A gas cylinder will be installed in the hire vehicle, in the event of the cylinder becoming empty during your hire an exchange cylinder can be purchased and on presentation of a receipt Tl Automotive Services Ltd will reimburse the full cost.

2. The fresh  water container will be provided ready filled. We would advise the use of bottled water for drinking etc as on various campsites etc the quality of water cannot always be guaranteed.

18   LIABILITIES and THE CUSTOMERS USE OF THE VEHICLE

1. The Hirer shall be responsible for damage to windscreens, tyres, punctures and all costs and expenses incurred as a result of offences against the Road Traffic Acts and / or regulations and indemnify TL Automotive Services Ltd from any liability.

2. The Hirer will  be liable for all TL Automotive Services Ltd uninsured losses, which may arise as a result of the Hire.

3. The Hire Vehicle and all of  its contents and accessories remain the property of TL Automotive Services Ltd at all times.

4. The number of  passengers traveling in the vehicle must never exceed its capacity. There are 5 seatbelts and all vehicles sleep 4 

5. The Hirer Must provide the names of its passengers and nominated Driver to TL Automotive Services Ltd upon request

6.  The Hirer is responsible for the security of the vehicle  and if the vehicle is left  unattended at any time,  must ensure it is  securely locked and parked in a safe, well lit location.

7. The hirer is  liable for any cost incurred while using the Vehicle during the Hire Period for speeding or parking fines, Congestion Charges or any  other offences committed against the Road Traffic Act regulations or any other applicable regulations

8. The hirer is liable for all overhead damage to the Vehicle resulting from any accident. The maximum height of the Vehicle is clearly stated in the Vehicle 

9.The hirer  must  not use the hire vehicle to tow any form of trailer, vehicle or equipment.

10. The Hirer must not allow the hire Vehicle to exceed its maximum permitted Gross Vehicle Weight 

11. The Hirer must not use the Hire  Vehicle to transport  passengers or goods for Hire or reward and shall not allow the use of the vehicle to any third party

12. The Hirer must not use the Vehicle for  business purposes or in conjunction with any race, competition or trial;

13. There is a strict no smoking or vaping policy in place, therefore smoking or vaping is strictly forbidden in our Vehicles. The Hirer will not be refunded their  Security Deposit if there is evidence that smoking the vehicle has been smoked/vaped in.

 14. Due to the  height of the Vehicle customers are reminded that any damage  caused if driven under an obstruction that is too low for it to clear, such as height restricted car parks. Is not covered by the insurance provided , and the Customer will be responsible for the cost to repair all damage. The dimensions of the vehicle will be noted in the cab.

19 FORCE MAJEURE

TL Automotive Services Ltd will not be liable for any failure to  carry out its obligations under the Contract due to any event of Force Majeure. In any event of Force Majeure delays,TL Automotive Services Ltd will notify the Customer as soon as reasonably possible and endeavour to make alternative arrangements or issue a full refund.

20 ASSIGNMENT

1. The Hirer is not entitled to assign the Contract or any part of it without the prior  consent of TL Automotive Services Ltd

2. The Company may assign the Hire Contract or any part of it to any person, firm or company.

21 PARKING

One free car parking space is available for the Customer’s car during the Hire Period only. 

All vehicles are left entirely at the owner’s risk.
